Portal Migration Suite FAQ
This article contains common questions and answers related to the Portal Migration Suite app by Datawarehouse.io
I am trying to purchase the HubSpot to HubSpot Migrator but it is only letting me authenticate one portal? How do I connect both HubSpot accounts to your app? I cannot see both HubSpot portals when I select the authorize button.
You need a single HubSpot user to have access to both accounts/portals as a Super Admin. HubSpot user accounts are defined by the email address you use to login. And they can be added to multiple HubSpot accounts.
We recommend logging into your destination portal, and adding the user that you use to log into the source portal as a Super Admin in the Destination portal. Then you can log into that user account and authenticate our app to both HubSpot portals/accounts. As that user now has access to both HubSpot portals/accounts it will be able to complete the authentication process.
In summary you need a single user in both the source and destination portal. And that user must be a super administrator in both. You can follow the instructions linked below to see how to add users to HubSpot.

Does the HubSpot to HubSpot Migrator offer a way to filter/specify which data is migrated, or exclude certain data, if you don't want everything going over to the new portal?
The HubSpot to HubSpot Migrator Pro and Enterprise versions allows for filtering. You can try out the configurator to see if it meets your needs here https://datawarehouse.io/product/hubspot-to-hubspot-migrator/
Select the Pro or Enterprise versions and click get started to try out the migration configurator.
Does it also offer a way to test the migrator on a small sample of data first, to be sure everything is migrating as expected before turning on for the entire portal?
We do not offer sample or test migrations for free. If you would like to see how the app works, we recommend using the Schema Replicator as it uses the same technology as the migrator and has a free 14 day trial.
Also wondering if you or anyone in the Community have any suggestions for bringing reports, dashboard, over from one portal to another? Is the only option to manually rebuild in the new portal?
These assets are not migrated by our portal migrator app as it is not possible to do so at this time with the current public HubSpot API's.
Can we transport over sent emails with their historic data?
One to one emails are migrated, but not marketing emails send history.
Can we transport over templates/content of the emails?
We can migrate and replicate Marketing Emails but not Marketing Email Templates. A Marketing Email Template in HubSpot can be used to create a Marketing Email. We migrate and replicate Marketing Emails but not the templates that can optionally be used to create them.
What is a Delta migration?
Delta Migrations are additional migrations that can be performed after an initial migration run of the HubSpot to HubSpot Migrator has been completed. It can be used as part of the Portal Toolkit to control the oldest data point you want to migrate.
Delta migrations can be run natively as part of the Portal Toolkit version of the Portal Migration Suite, or they can be purchased individually after a completed run of the HubSpot to HubSpot Migrator. Both versions of the Portal Migration Suite can run delta migrations.
Delta migrations transfer only records and data to the target portal that have been created or updated in the source portal since or after the delta date you define in the app.
To run a delta migration via the HubSpot to HubSpot Migrator:
-
Navigate to the User Panel for the desired migration you wish to update (Click here to learn how to navigate to the User Panel.)
-
Select Purchase Delta Migration.

-
From there, you will be taken through the purchase and setup process, beginning with the pricing page and then proceeding to the authorization and setup screens to take you to the updated migration setup page.

- Once you have arrived at the migration setup page as demonstrated below, follow the setup prompts and verify that the correct source and target portals are selected.

-
Once you have confirmed the correct source and target portal IDs, continue through the setup until you reach the Is this a Delta migration? section of the setup page as shown in the example below:
-
As noted in the prompt, delta migrations can only migrate records updated or created from the selected date onwards. It will not allow you to update records or data prior to the data of the initial migration.

-
-
After selecting the desired date range, continue through the remaining setup options and adjust any migration settings as needed.
Once configuration is complete, proceed to checkout to finalize the purchase.
- If you've selected to have the delta migration begin immediately after checkout, the migration will then start immediately once payment has been successfully made.
- If you've selected to have the delta migration begin later, you can return to your user panel at any time to manually start your migration. (Click here to learn how to navigate to the User Panel.)
To run a delta migration using the Portal Toolkit:
Start a new migration or edit and rerun an already completed migration and the option will be automatically available to you during the migration configuration process. See this guide for more details.
